The purpose of these general terms and conditions is to ensure a harmonious collaboration with Vahana’s affiliates by clearly defining the terms of the partnership.

Please read these terms and conditions in their entirety. By joining the Vahana affiliate program, you acknowledge that you have read and understood the terms and conditions and that you have the right to agree to them without the approval of any other party.

1. Registration

Your application to become a Vahana affiliate is subject to a manual review process to assess whether we are a good fit. The review process may take up to 5 business days. You will be notified of our decision by email.

By becoming an affiliate, you agree to receive occasional emails from Vahana regarding changes to the affiliate program terms and conditions, news and updates, or other information relevant to you as a Vahana affiliate.

You must provide us with accurate information regarding your identity, your website(s), and/or the platforms you intend to use to promote Vahana.

Reasons for rejection include, but are not limited to, websites and/or businesses that:

Promote or display violence, discrimination, sexually explicit material, or copyright and trademark infringement;
Include “Vahana,” its variations, or misspellings in their domain name;
Reproduce or resemble our website design (explicitly or implicitly) in a way that leads customers to believe you are Vahana or any affiliated company.

Please note that this list is not exhaustive and we reserve the right to reject your application at our sole discretion without providing a reason.

2. Commissions and Payments

Commissions may be paid via PayPal or as discount percentages on items sold by Vahana. Your commission rates are confidential and will be communicated to you personally.

If you wish to be paid via PayPal, you must be able to invoice us for each payment. You will also need a PayPal account to receive your payments.

The standard cookie duration is 30 days. Customers therefore have 30 days from the moment they click your affiliate link to decide whether to purchase from Vahana. If they purchase after the cookie expires, commissions will not be recorded (unless they use your affiliate link again).

Additionally, the commission goes to the first affiliate whose link was clicked (if the purchase is made within the 30-day window).

Example: if the customer clicks your affiliate link first, and later uses another affiliate’s link when they decide to buy, the commission goes to you.

We have a 15-day refund policy, which is why we only pay commissions that are more than 15 days old and have not been subject to a refund.

The minimum payment is €100. Payments will be made in euros to your bank account every month, between the 15th and the last day of the month. In order to comply with our legal requirements, we need you to send us an invoice reflecting the amount due that month, submitted by email between the 1st and 14th of that month.

Example: on March 31, you have €250 in approved, unpaid commissions. Between April 1–14, you send us an invoice for €250. We transfer the amount to your bank account between April 15–30.

If you wish to accumulate a higher amount before being paid, you may wait up to 3 months before invoicing us.

You are solely responsible for complying with any laws, declarations, and taxes applicable to you in your country of residence as a result of the affiliate services you provide.

We reserve the right to lower or increase our standard commission rates at any time and for any reason. You will be notified by email 30 days in advance before any such changes take effect.

All commissions must be approved before payment. The status of each commission will be available in your affiliate program dashboard as “Pending,” “Unpaid,” “Rejected,” or “Paid.”

You are not permitted to use your own affiliate link to purchase from Vahana.

3. Permitted and Prohibited Promotional Methods

The following promotional methods are permitted:

Sharing your affiliate link directly with friends or potential customers who may be interested in Vahana;
Writing a review of Vahana on your blog or website and linking to our product with your affiliate link (or any other creative asset provided);
Writing an article on your blog or website on an affiliate marketing niche topic and linking to our product with your affiliate link;
Using your social media accounts to share your affiliate link with your audience (note: ensure this is permitted by the relevant social network and that you also comply with their terms and conditions);
Promoting your affiliate link in emails, provided the recipient is already a customer or subscriber of your services or website and has the option to opt out of future emails;
Mentioning your affiliate link and/or discount code on podcasts.

The following promotional methods are not tolerated and your account will be terminated if you engage in them:

Spamming (in any form and/or on any platform or channel, including but not limited to: unsolicited promotional emails, mass commenting on websites, posting your affiliate link in groups and forums where it is not permitted, sending unsolicited direct messages, etc.);
Misrepresenting our brand and products in any way (including but not limited to: misleading customers or using false information about our products, using fake testimonials, claiming to be a Vahana employee or Vahana itself, concealing or misrepresenting your identity or your affiliation with our company, etc.);
Using paid advertising for your affiliate link;
Placing your affiliate link and/or discount code on coupon sites.

This list is not exhaustive and we reserve the right to close your account if we believe your promotional activities do not align with our business values.

If you are unsure whether a particular promotional method is acceptable, please contact us in advance for confirmation.

4. Account Termination

Either party may terminate this agreement at any time, with or without cause, by providing written notice to the other party via email.

Additionally, we reserve the right to terminate your account at any time and without notice if we determine that you have violated any of the terms and conditions of this agreement. Any pending or unpaid commissions subject to a violation of our terms and conditions will be withheld.

In Conclusion

By registering and being approved as an affiliate in the Vahana affiliate program, you agree to abide by the terms and conditions of this agreement.

You agree to act as an independent contractor and that the affiliate relationship does not constitute an employment relationship between you and Vahana. Furthermore, you are not authorized to make or accept offers or representations on our behalf.

You agree that this is not a legally binding relationship and that, as a result, you may not take legal action against Vahana.

Finally, these terms and conditions are subject to change and you will be notified in advance of any modifications.

You have the right to withdraw from our affiliate program at any time by notifying us via email.
